Human Resources

Hospitality Staff

We're looking for a personable and service oriented individual to join the Human Resources team. Hospitality Staff work with the Hospitality Manager to support the delivery and tracking of staff and volunteer benefits.

- Great organizational skills.
- Good communication skills.
- Must not have airborne allergies to food.


Guest Staff

The Guest Staff, report to mainly the Guest Relations Manager or assigned North American, International or Overseas Guest Relation Managers. You would be responsible for handling ASAPA’s official Guest of Honours under the Department of Programming. The Guest Staff act as a representative of ASAPA and attend to Guest needs during their stay in Edmonton, including pick-up and drop-off at airport, arranging for transportation during their stay in Edmonton, ensuring contractual obligations are upheld, timely appearance at scheduled functions, ensuring meals and water is arranged, and entertain the Guest with local attractions. The Guest Staff will regularly report updates and status of Guest activities to the Guest Team and notify the specific Guest Manager of any issues/concerns regarding Guest stay in Edmonton, and maintain professionalism at all times while acting as a representative of ASAPA.

Duties & Responsibilities:
Act as the event representative with Guests of Honours.
Ensure Guest(s) contractual obligations and agreed upon schedules are followed.
Ensure all Guest(s) requirements are met, including transportation and meals.
Communicate with Guest Team and provide regular updates during the event of activities.
Arrange for local attractions and activities if time permit and with approval.
Maintain professional image and hygiene at all times.
Assist Guest with presentations and workshops as required.
Handle cash transactions for Guest in local currency as required.

Ability to speak at JLPT N3 level or equivalent preferred, but not required
Good communication and diplomatic skills.
Good organizational skills.
Excellent knowledge of Edmonton attractions, activities, and restaurants.
Good conflict resolutions skills.
Proficient with messaging and texting on mobile phones.
Must possess a mobile phone with a data plan.
Must be mobile and capable of walking for extended periods of time indoors and outdoors.
Must be available for the entire duration of the Guest stay in Edmonton, beginning on the Thursday prior to the Event date, and the Monday following the Event date.
Must be over the age of 18.
Customer Service experience is an asset.
Class 5 Driver’s License and over the age of 25 is an asset.

Special Events Lead

Special events - Festival Staff.
The Festival staff will be responsible for the "Festival" games and area of the event. They will be interacting with attendees and explaining the various Festival activities.

-Must be 18+
-Prior experience in event organizing is an asset
-Must be great at multi-tasking
-Must be able to follow a detailed schedule or timeline
-Experience with cash handling is an asset
-Must have good communication skills.

Public Relations

Advertising Staff

-Year-round position, 6 hrs/week
-Reports to Advertising Coordinator
-Promote Animethon through various methods of advertising
-Assist Advertising Coordinator as required. Duties may include the below:
-Review and analyze surveys, and research advertising trends
-Meet with potential advertising agencies to discuss advertising plans
-Select media providers by obtaining quotes and estimating returns on investment
-Initiate advertising contracts upon approval, request creatives from Design Manager, manage the delivery of creatives to vendors and confirm that advertising placements happen according to contracts
-Evaluate the performance of advertising campaigns

-Good understanding of advertising in regards to anime and Asian popular arts
-Good communication and negotiation skills
-Some professional experience in advertising and marketing preferred, but not required
-Some daytime availability for meetings preferred

Brand Ambassadors

-Year-round on-call position
-Reports to Community Events Coordinator and Assistant Coordinator
-Cosplay at various external events to promote Animethon
-Tell interested people about Animethon
-Pose for photos with patrons upon request to create positive Animethon experience
-Use own social media to promote Animethon from time to time
-Upload video clips to Animethon social media platforms to promote and maintain community engagement

-Cosplayer, gamer, or general anime and Asian pop culture enthusiast
-Mature, outgoing and friendly
-Knowledgeable about Animethon and ASAPA
-Have own reliable transportation
-Weekend availabilities plus some weekday and daytime availabilities
-Willingness to travel out of town

*No cash handling
*Must be accompanied by an Animethon Coordinator staff or higher at events while on shift
*Only gas and hotel are covered for out-of-town events
*Meals not covered

Community Events Assistant Coordinator

-Year-round position, 3 hrs/week plus at event shifts
-Reports to Community Events Coordinator
-Assists the Community Events Coordinator with their tasks, including:
-Act as the liaison between Animethon and the community which includes, but is not limited to clubs, not for profit/charity/special interest groups and other events (conventions, etc.)
-Research opportunities for outreach and promotion of Animethon at the community and clubs level
-Coordinate and attend external promotion events with Mascot Team and Brand Ambassadors
-Interact with event attendees to promote Animethon, give information, and sell tickets to Animethon at external events
-Build and maintain good relationships with communities and clubs
-Outreach to and be in charge of all aspects of Community Corner prior to and during Animethon, including providing space for interested clubs, not for profit/charity/special interest groups, etc
-Holds all responsibilities of the Community Relations Coordinator when they are off-duty or unable to perform their duties.

-Must have own vehicle
-Willingness to travel out of town
-Must be able to bring some booth displays to external events
-Sell tickets to Animethon at external events
-Must have excellent communication skills
-Must be mature, outgoing, approachable in nature
-Must have excellent understanding of Asian popular arts culture

Guest Merchandise Assistant Coordinator

-Event lead-up 3 months, plus at event shifts
-Reports to Guest Merchandise Coordinator
-Assist the Guest Merchandise Coordinator as required;
-Hold all responsibilities of the Guest Merchandise Coordinator when they are off-duty or unable to perform their duties
-Help with Guest of Honour during autograph sessions to sell their merchandise

-Good understating of merchandising in regard to Anime and Popular Asian Arts
-Good communication and negotiation skills
-Good customer service skills
-Good organization skills for managing staff and inventory/sales tracking

Information Desk Staff

-Event lead-up 3 months, 2 hrs/week plus at event shifts
-Reports to Info Desk Manager and Assistant Manager
-Assist with the distribution of special passes at the Event
-Man the Information Desk day-of at the Event;
-Be the go-to person to answer attendee questions;

-Thorough understanding of event times, general layout of venue, and who to go to in order to get certain answers required.
-Mature and professional attitude
-Experience with customer service

Mascot Staff

-Year round on-call position, plus at event shifts
-Reports to Mascot Coordinator
-Utilize, care, and maintain mascots for marketing purposes
-Wear mascot suit during Animethon and at any ASAPA and Animethon related events as requested;
-Assist, guide, and protect the mascot performer as their handler;
-Clean and maintain the mascot suit after each use;

-Must be able to carry 20lbs continuously for 60 minutes;
-Must be able to withstand closed space and heat;
-Must have outgoing and animated personality;
-Must be less than 5'5" (165cm) tall and be of medium build or smaller.

Media Manager

-Year round position, 8 hrs/week
-Reports to Director of PR and Assistant Director
-Oversees Design and Photography
-Interview, select, train, coach and evaluate for coordinators for Design and Photography teams
-Manages, obtains info, and assigns tasks to its departments
-Reviews work done by Design Team prior to submitting to higher approval
-Manages submitted event photos and chooses photos for promotional purposes
-Manages press and media inquiries and press releases
-Compile Press Releases to promote the event and guests to the Media/Press;
-Coordinate all interviews and invitations to Animethon Press Conferences with the Media/Press;
-Managing and acting as liaison with all Media/Press that attend Animethon during the event;
-Coordinate with the Site department to ensure all Site and Animethon policies in regard to photography and videotaping by the Media/Press during the event are covered;
-Pursue media coverage leading up to and during the event for promotion.
-Coordinate with Marketing Manager for their promotional needs

-Attention to detail
-Good management and communication skills
-Background in graphic design, marketing, and communications
-Experience in photography and videography would be a plus

Merchandise Staff

-Event lead-up 2 months, plus at event shifts
-Reports to Event Merchandise Coordinator and Assistant Coordinator
-Assist in sales of Animethon-exclusive or Guest merchandise at the Merchandise table or booth during the event;

-Must be able to handle a POS system;
-Must demonstrate a high level of professionalism while dealing with the public and guests.

Signage Assistant Coordinator

-Event lead-up time 6 months, plus at event shifts
-Reports to Design Coordinator
-Assist the Signage Coordinator as required;
-Hold all responsibilities of the Signage Coordinator when they are off-duty or unable to perform their duties.

-Must be fluent in PhotoShop, InDesign/Illustrator or equivalents
-Education and experience in marketing or design would be a plus

Signage Coordinator

-Event lead-up time 6 months, plus at event shifts
-Reports to Design Coordinator
-Coordinate all requirements in regard to signage at all venues of the event;
-Determine the quantity, sizes and information needed for all required signage;
-Work with the Design Manager to come up with signage layouts;
-Ensure all materials needed for building the required signage is accounted for or obtained;
-Coordinate the placement and removal of all signage during the event.

-Must be fluent in PhotoShop, InDesign/Illustrator or equivalents
-Education and experience in marketing or design would be a plus

Sponsorship Coordinator

-Year-round position, 5 hrs/week
-Reports to Marketing Manager
-Seek out potential sponsors for Animethon
-Curate sponsors for Animethon
-Develop a Sponsorship Program for Animethon
-Generate revenue through our Sponsorship Program
-Generate revenue via Guidebook advertisement sales
-Build and maintain relationships with local and international businesses
-Coordinate with other departments for their sponsorship needs

-Good understanding of the value Animethon provides to the community-at-large
-Good communication and negotiation skills
-Some professional experience in fundraising or sales is a plus

Site Operations

Exhibitor Staff

In this position you will be mainly in the Exhibitor Hall assisting with set-up and tear down. Guiding and directing vendors and on proper placements. You will also follow any directions from the Exhibitor Manager, Vendor Coordinator and Assistant Vendor Coordinator. Requirements are as follows

- Be alright with doing manual labor.
- Being able to properly read maps and floor layout is recommended.
- Must be available for all day on both days of the convention, and if needed a few days before
- Prior experience in a Customer Service setting is recommended
- Prior to event must have a clear understand of all Vendor Hall policies.

Technical Staff

- Helps to ensure all A/V & Computer equipment is in working order for all events using them.
- Provide technical support to Guests and Panelists prior to the start of their panels.
- Respond to Technical support requests as required.
- Assists The IT/Technical Services Manager, Technical Coordinator or IT Coordinator with any other additional duties as required.

- Good technical aptitude and problem solving skills.
- Good understanding of computers and/or audio/video equipment.

Transport Assistant Coordinator

Responsible for assisting the Transport Coordinator in maintaining the master schedule for all transportation
requirements of the event which ensuring things and people are collected/delivered on time and in a safe
manner. Reports to the Transport Coordinator.

Responsibilities may include:
– Assisting the Transport Coordinator with maintaining the master schedule for transportation
before, during, and after the Event.
– Coordinates pick up and drop off of equipment, merchandise, and supplies
– Help manage and supervise staff, organize drivers' shifts, and coordinate training
– Assists with load in and load out as required
– Ensure that all Drivers are following local traffic bylaws and maintaining a professional
– Assist in identifying existing and possible future transport issues, develop maps and investigate alternative
– Liaise with the Guest Manager and Communications department to ensure all vehicles are being
used efficiently

– A logical and systematic approach to work
– Good time management ability and organizational skills
– A commitment to teamwork and excellent interpersonal skills
– Strong problem solving and decision making skills, as well as being able to think laterally and
offer creative solutions
– Experience working with inventory, shipping, or equivalent
– The ability to manage change and handle stress in a fast-moving environment, as well as being
able to cope with standby times/downtime in a constructive manner
– Excellent communication (both oral and written)
– A positive attitude toward external suggestions and continued learning
– Must be able to lift 25 lbs.
– Own PPE/Protective Footwear is recommended, but gloves and hi-vis are available from Site.
– Class 5 Drivers and a clean abstract (preferable)
