Whether you're an expert on classic series, a master of cosplay, a connoisseur of manga, or a storyteller with a unique perspective, or just want to try out something silly, we want you to bring your voice to our stage.
Panel Guidelines
The following is an outline of the submission guidelines and rules for Animethon 2025. Please read over all the details before submitting your panel.For general Animethon policies, please see Animethon 2025 General Policies.
Age & Identification
- You must be 16 years of age or older, as of August 7, 2025
- If hosting MP-rated panels, you must be 18 years of age or older, as of August 7, 2025
- Your legal first and last name on your submission must match the identification you will use to verify yourself upon Panelist check-in
Acceptable Identification:
- Government-issued photo ID (driver’s license, identification card, passport)
- High school ID / Post-secondary ID (except MP rated panelists)
Co-panelist
- You may have ONE assistant panelist (co-panelist) to help run your panel. Your co-panelist must follow the above name and age rules. You are responsible for the accuracy of these details.
- Should you require a change to your co-panelist after the submission form has closed, you must notify Animethon Live Events Staff by email (live@animethon.org) no later than July 12, 2025.
Submission Process
The deadline for panel submissions will be May 24, 2025 by 11:59 PM Mountain Standard Time.- A confirmation email will be sent to your email address provided on your submission. You are responsible for reviewing this email and ensuring the submission is accurate.
- If any changes are required to your submission, please edit the Google Form copy that is sent to you.
- Should you have changes after the submission form is closed, please email Animethon Live Events Staff by email (live@animethon.org) by May 31, 2025.
- A panel submission does not guarantee your panel will be accepted.
- An acceptance, waitlist, or rejection email will be sent to you within 10 business days after the submission deadline.
- If accepted as a panelist, a complimentary 3-day event pass will be provided to you (and your co-panelist if applicable). Details on how to pick up your pass will be sent via email closer to the event
- This complimentary pass will have the same benefits as a 3-day event pass.

- Animethon has the right to change details of your submission to ensure the panel is accurately described to Animethon 2025 attendees. You will be notified if changes are made.
Scheduling
- Animethon will attempt to, but cannot guarantee your panel will be scheduled in a room and timeslot with the same preferences on your submission.
- You must be available for the full duration of the availability block checked off on your submission, except for stated conflicts.
- Panel time change requests contrary to your submitted availability will not be accepted without good reason.
- Please be on time to your panel. You are allowed to set up 15 minutes before the start time of your panel and 15 minutes after the end of your panel to clean up.
- If you require additional time to set up your panel, this must be indicated on your submission form, otherwise additional time requests may not be honored.
- If you are no longer able to run a panel, you must inform Animethon Live Events Staff (live@animethon.org) by email no later than June 21, 2025.
Panel Content
Panels are considered by order of submission, content, level of detail provided, and degree of engagement with the audience.The following are absolutely NOT allowed in any panel:
- Rearrangement of tables and chairs, or any other venue equipment. This includes any tech equipment that is set in the panel room.
- Gifting or rewarding food and drink prizes, or any other consumable prizes.
- Showing explicit sexual content.
Panel Rating
Please indicate your target audience for your panel using the following:- AP: All ages
- 14P: May contain coarse language, brief mature subject matter
- MP: Not suitable for audiences under 18. May contain graphic violence, intense horror, or other disturbing content
- If you are unsure of the rating for your panel, please contact the Live Events team at live@animethon.org
Audio/Video
- Animethon will not provide laptops, you are responsible for bringing your own devices
- Animethon will not provide internet connectivity. If you require an internet connection, you are expected to use the public WiFi or your own personal internet source.
- All panel rooms will have projectors which require an HDMI connection for video output.
- Any devices for audio playback require a 3.5mm aux output for connecting to the audio system.
- You are responsible for providing adaptors for any incompatible equipment. Please email Animethon Live Events if you need to check the compatibility of your equipment.
- A staff member from tech will be available before each panel to help with setup. If any issues occur during your panel, there will be a number to contact the technical staff directly at the back of your panelist badges. If you have any special requests, please let live events staff know first at live@animethon.org
Panelist Conduct
- You must follow the above Panelist Guidelines and Rules.
- You must also follow the Animethon 2025 General Policies.
- Please note that no signage advertising your panel will be allowed to be posted on the walls or doors of the Edmonton Convention Centre due to building regulations.
- Other conduct that will not be tolerated are:
- Promoting discrimination.
- Attacking the character or personal dignity of others.
- Soliciting or sale of any products or services.
- Failure to abide with proper panelist conduct may result in a ban from running future panels at any Animethon or ASAPA events.
- Should your panel be accepted, feel free to post on social media promoting your panel. Panel times will be updated when the schedule is ready (usually by mid to late July)
